DFM Capital LLC ("we," "us," or "our") operates the TenantGenie AI platform at tenantgenie.ai. This Privacy Policy explains what information we collect, how we use it, and your choices regarding that information.

1. Information We Collect

Account Information

When you create an account, we collect your name, email address, password (stored in hashed form), and organization name. Property managers may also provide their phone number.

Tenant & Vendor Information

Property managers add tenant and vendor records to the platform, which may include names, email addresses, phone numbers, and unit/property assignments. This information is provided by the property manager, not collected directly from tenants or vendors.

Maintenance & Work Order Data

We collect information related to maintenance requests, work orders, vendor completion reports, invoices, and related communications submitted through the platform.

Usage Data

We automatically collect standard server logs, including IP addresses, browser type, and pages visited, to maintain and improve the service.

Cookies & Similar Technologies

We use cookies and similar technologies for authentication (session cookies), security, and error monitoring. We do not use advertising or tracking cookies. Third-party services we integrate with (such as Sentry for error monitoring) may set their own cookies for operational purposes.

2. How We Use Your Information

  • To provide, maintain, and improve the TenantGenie AI platform
  • To send transactional communications via email and SMS (e.g., work order notifications, maintenance reminders, vendor dispatch alerts)
  • To authenticate users and secure accounts
  • To generate AI-powered maintenance triage and cost estimates
  • To build the Playbook knowledge base from anonymized, aggregated work order data within your organization
  • To monitor and fix errors and improve platform reliability

3. SMS & Text Messaging

TenantGenie AI sends SMS messages to tenants and vendors on behalf of property managers. These messages include work order notifications, maintenance reminders, vendor dispatch alerts, and property management communications. Messages are sent only to phone numbers provided by the property manager.

Message frequency varies based on property management activity. Standard message and data rates may apply.

Recipients can opt out of SMS messages at any time by replying STOP to any message. For help, reply HELP or contact us at the email below.

We do not sell, rent, or share phone numbers or SMS opt-in data with third parties for marketing purposes.

4. Data Sharing

We do not sell your personal information. We share data only in these limited cases:

  • Service providers: We use third-party services to operate the platform, including Vercel (hosting), Neon (database), Twilio (SMS), Resend (email), Anthropic (AI features), Stripe (payment processing), Sentry (error monitoring), and Google (location services). These providers access data only as needed to perform their services.
  • Within your organization: Data you enter is visible to other members of your organization on the platform (e.g., property managers can see tenant records and work orders within their organization).
  • Legal requirements: We may disclose information if required by law, subpoena, or legal process.

5. Data Security

We use industry-standard security measures to protect your data, including encrypted connections (HTTPS/TLS), hashed passwords, and access controls. However, no method of transmission over the internet is 100% secure.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the service. If you delete your account, we will delete your personal data within 30 days, except where retention is required by law.

7. Your Rights

You may:

  • Access, update, or delete your account information at any time through the platform
  • Request a copy of your data by contacting us
  • Opt out of SMS messages by replying STOP
  • Request account deletion by contacting us at the email below

California Residents

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with additional rights, including the right to know what personal information we collect, the right to request deletion, and the right to opt out of the sale of personal information. 8. Children's Privacy

TenantGenie AI is not intended for use by individuals under the age of 18. We do not knowingly collect information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify registered users of material changes via email. The "Effective Date" at the top indicates the latest revision.
